Function Details:
Time Recording: Backup & Restore
Backup to Google Drive or Dropbox
• "Create backup" copies all your Time Recording app data and settings to your Cloud provider (Google Drive or Dropbox). You'll need this backup file when moving to a new phone, or for data recovery after factory reset.
• We strongly recommend you enable "Auto backup" if you regularly use Time Recording - if your phone gets lost or stolen, having a recent Cloud backup is the only way to recover your data.
• Note regarding Dropbox: for historic reason, the app requires full read/write access to your Dropbox. If this is a concern to you then use Google Drive instead, where the app has "own files only" restricted access.
Restore
• Restore will download the latest backup file from your Cloud account, then copy over all data and settings from that backup file into the app.
• Note all previously existing data within the app gets overwritten. I.e. when moving to a new phone, make sure you recover your data *before* adding new entries.
Partial restore
"Restore" replaces all existing data.
If you rather want to merge partial data from the backup into your existing data, then use "Import".
Using this mode will recover time stamps and day notes for the given date range.
Time Recording: Edit past days
Time Recording: What happens if you forget to check out
The app's main screen
In this example we've worked on Saturday but forgot to check out.
This is what's shown when we open the app on Sunday evening:
• Saturday shows as "current day" main screen content, and will so until end of Sunday.
• The running total of the current day has accumulated until "now", which is more than 30 hours after last check-in.
• The "+1" indicator on the on-clock timestamp with blue text color shows that it belongs to Saturday (the "Workday") but is booked to next day (Sunday, the "Validity date"). Accordingly, the running worktime total has accumulated more than 24 hours.
• At midnight between Sunday and Monday, the app would then switch its "current day" to Monday. The Saturday's check-out remains missing, and the running counter for Saturday is reset (see next section B).
Tips and tricks:
• As shown in screenshots 2 and 3, the running clock and time counter can be forced to stop at a specific time to avoid runaway values. New users to the app since version 7.74 have value "22:00 / 10:00 PM" predefined. Note that the "Timestamp reset" behaviour is not affected by this setting and remains in place.
• Alarm B1 ("Daily worktime exceeds X") and C1 ("Missing checkout") can notify you accordingly.
Past days on the "Day" view
The main screen switches to a new workday after maximum 48 hours. If by then you haven't added the missing checkout, then the tentative timestamp in blue text color is reset.
That is:
• The check-in timestamp copies over to the (missing) check-out timestamp, giving a worktime total of "zero".
• The blue text color is kept to indicate "missing timestamp".
→ This is what the app shows when opened on Monday, using the "Day" view to navigate to Saturday (i.e. we see the same timestamps as above, but the "reset" event has applied to the missing check-out).
How to fix this
Just tap the time cell and put in the actual check-out time.
Time Recording: Reporting period
Set your reporting period (also referred to as "pay period" by many users) to one of the available values.
Also note "First day of week" and "First day of month", which lets you start the week and month respectively on days different from default.
Hints for reporting:
• Long click on that button which matches "reporting period" shows report shortcuts with matching date ranges.
• The report's "Report reminder" function can also be bound to reporting period
"2 Weeks" and "4 Weeks" can define if "left/right scrolling" on the "2 Weeks" / "4 Weeks" view shifts by 1 week with each tap, or by 2 (respectively 4) weeks. This also reflects in "long click" mentioned before.
Time Recording: Worktime overview
Worktime overview per week or per month for full year.
The same data is also available on report E8.
Time Recording: Holiday tracking
Track your holidays using one of these three options.
- A1 is easiest to handle
- A2 makes sure your "target time" doesn't deviate
- A3 works independently of registered hours or notes
Day notes
• Data input: put in "Holiday" or similar as day note. Hint: use the "[...]" lookup to select and edit template texts.
• Reporting: use report E3 or E12 with day notes filter 'Holiday'.
Time block with task
• Data input: put in a work unit that matches your regular work time (e.g. 08:00 bis 16:30), and assign "Holiday" as task (see "Tasks").
• Reporting: use report E3 with task filter 'Holiday'. Hint: "[...]" allows reusing previously applied filters.
• Hint: Template is very useful to define and assign such pre-defined time blocks.
Time Recording: Breaks
You have two options to apply "Breaks":
• Option 1 with "Check-in, Check-out" is simpler to use.
• Option 2 with tasks is more powerful for reporting.
→ Also see "Automatic breaks", this lets you automate entries for option 1.
→ Also see "Alarm settings", alarms A3 and A4 can notify you when your break is over.
Option 1: "Check out" for break start, "Check in" for break end
• Hint: Enable "Show break duration"
• Edit breaks
• Use "Template" for default breaks
• Break duration on reports
Option 2: "Switch task" with dedicated "Break" task
"Break" task applied - the "Total" does *NOT* include time for task "Break"
Time Recording: Reports
What's displayed:
• E2: one line per work unit.
• E3: one line per day.
• E4: one line per task and day.
• E8: one line per week or month, similar to "Worktime Overview".
• E9: custom grouping.
Create the report:
• Set the required date. Note: "Long click" on the "Day / Week / Month" main screen buttons takes over the according date range.
• Tap "Send" or "Preview"
Configure reports
• Show or hide fields
• Change field sort order
• Change report name and field names
Report list
• Hide unused reports
• Show report E2 three times. Each instance of E2 has its own configuration.
Report reminder
See page “Report reminder”
Settings
• Defaults for "Send" and "Preview"
• Header and footer free text. Use this to add your name to the reports. Note this is defined per output format (HTML, Excel, PDF).
Settings: advanced options
• Sales tax to be applied to the "Amount" field.
• Change the default filename pattern. This is useful if you have reports delivered to Google Drive or Dropbox and need custom report file names.
Settings: advanced options for header and footer text
• Prompt for header and footer text on each execution. Use this if you want to add custom information (e.g. client name and address, and you need to pull reports for multiple clients). Note the "[...]" history lookup, so you can reuse previously used texts.
• "Header line with filter details" prints an extra header line with the list of filters that have been active for report execution (e.g. "Task: Admin, Day notes: year end review."). Note this option is set per report format (HTML, PDF, Excel).
(G) Report E11
Several pages of the app provide a "print view"; the app generates these as "report E11" when sending out.
Limitations:
- Smallest tracking unit is one minute
- Does not support parallel tracking or overlapping entries
- Exclusive to Android, no other platform versions available or planned.
