Before you begin

- If you haven’t used When I Work before, sign up for an account.

- If you already have an account, use a supported web browser to sign in to When I Work on the web.

Name the schedule

Hover over , then select  Schedules to edit your default schedule or to add more schedules.

Consider setting up separate schedules. You might want to set up multiple schedules if your workplace operates out of different physical locations/regions or you want to build separate schedules for different teams/departments.

Add positions

Hover over , then select  Positions to create or edit positions.

Create a position for each role in your workplace. Positions tie people and shifts to a particular duty or skill. Keeping users and shifts separated by position helps you ensure that your workplace has the skilled coverage that you need.

Add users

Hover over , then select  Users to view and manage your user list.

There are several ways to add users:

- Add users one at a time: Use this method if you know your user’s contact information (email address and/or phone number).

- Import multiple users at the same time: Use this method if you know your user’s contact information (email address and phone number) and you want to save time entering user information.

- Tell your users to register with your When I Work account: Use this option if you don’t know your user’s contact information. When users register without being explicitly invited, you must approve their accounts.

Create shift templates

Hover over , then select  Shift Templates to create or edit shift templates.

Create a shift template for each standard shift at your workplace. Instead of manually entering in custom shift details one-by-one on the scheduler, shift templates let you easily create shifts that are scheduled often, speeding up the schedule-building process.

Configure scheduling settings

Hover over , then select  Scheduling Settings to configure.

Determine how users interact with the schedule by configuring the Scheduling Settings. The Scheduling Settings include options that allow users to take accountability for their own schedule.

    It's going great! I'm using it for organizing staff in the health sector. One suggestion: make sure that the color of shifts matches on both paper and on the mobile app. Right now, when you look at the schedule on the app, you can't see the names of the shifts color-coded like you can on the website. Also, when you print it out on paper, the colors only show up as a thin line. The staff really likes this feature, though.

    So, there's this app we use at my workplace, and honestly, it's more of a hassle than helpful. You see, it relies heavily on having a good internet connection to even work properly. This can be quite problematic, especially when you're on the move. Another annoying thing is these pop-ups that keep appearing within the app. They cover important buttons, making it hard to clock in or out quickly. What they really should do is make the app functional offline. Also, once you've clocked in, it would be really handy if there was a small floating tile feature, kinda like how Messenger works, that you could minimize or expand as needed.

    Recently, I've been experiencing issues with using this app at work, both as an employee and as a scheduler. The latest updates have caused numerous bugs for Android users. This has forced me to rely on my computer more often, despite being able to perform tasks on my phone for the past 6 years. I have reported these bugs multiple times but they remain unresolved with minimal follow-up. I have been asked to send an email, however, I have already done so several times.

    It's great for organizing your schedule, with plenty of useful options. I haven't encountered any problems yet. I've tried other payroll apps before, but this one stands out with its internal chat feature and the ability to customize profiles, update information, and keep up with available extra shifts. I really appreciate being able to view future schedules and track payroll, as well as print pay stubs. The interface is super easy to use.

    I enjoy using this app a lot because it's really simple. You can easily set up your schedule and manage your shifts effortlessly. If you have notifications enabled, you can quickly check what shifts are open and when you're scheduled to work. It's a great app overall. I haven't tried any other apps for work scheduling before, so this has been a pleasant experience for me.

    I had a terrible time with scheduling. The app is really hard to use and often has problems. I don't get alerts for messages, and my staff have to reinstall the app every day now. The schedule display doesn't always work, and even when it does, the details are wrong for that day. I tried to get customer service to fix these issues so my team of 50 doesn't have to go through this, but no success.
